BJD Database Guidelines & FAQ

Mar 18, 2008

    1. The Database is a library resource for members. Databases are based on sculpts (heads) and default, "out of the box" attributes that are associated with the sculpt - things like resin colour, eye shape, ear shape. Look for body, character or modification "databases" in Photo Reference.

In addition to the Rules for all Galleries:
No chatting in the databases. Please use the discussion areas to discuss the sculpts, or convo the poster with your comments or compliments. Moderators will remove chat comments.

All profiles must contain photos. Your profile must include a picture of your doll. Profiles for heads waiting for or sharing a body are fine. If you want, you may also include a concept sketch. You may make one post per doll per thread. Moderators will remove profiles without photos (this includes profiles where the image link no longer works ... please remember, if you delete your image from your hosting service, the picture is no longer available to DoA).
      • If you are concerned about preserving your doll's profile information, please make sure to keep a copy of it.
      • If you rehome your doll, you are welcome to leave your entry in the thread as a courtesy to other members who want to see many variations of the doll. The decision to remove your entry or leave it in the database is yours.
Do not create a database for a doll that is not in your possession. You can create a database when your doll is home and you can post a picture. If you do not have the doll yet, we will not approve the thread. But you can always try again when your doll comes home.

Do not "save a spot" for your doll. Please wait until your doll arrives and you have a picture before adding it to a database. The moderators will remove placeholder posts.

      New databases require approval

When you create a new database, it will not show up until a moderator has approved it. Please allow at least 24 hours before contacting a moderator to check your thread.
      • If your thread is approved, a moderator will contact you to let you know you can post a picture of your doll in a separate entry.
      • If your thread is not approved, a moderator will contact you to let you know why. If it is because another database thread exists for your doll, the moderator will give you the link, so you can post your doll there.
How to create a new database
Make sure there is no database for your sculpt. Check in the Database Database and run a search on the forum to see if your doll or category is already listed. We do not approve duplicate databases.

Create the Database thread as you would any thread in any other forum: click the "New Thread" button at the top left of each forum page.

When you create your database, include the name of the sculpt and the company that made the sculpt in the title so people can find it.

Your first post should introduce the sculpt. Include a list of profile information if you like. Please do not post a picture yet. Confirm you have this doll by including the following (without it, it will take longer to approve your database):

I have this doll and am ready to post a picture
      .
Here's an example of the database format.

      Profiles

Many people enjoy adding profiles of their dolls. If you would like to do this, it is helpful to others - especially those who have only a head and are looking for body and resin matchs - to include items such as body, eyes, wig, faceup. The basics of your styling. This does help reduce the desire to chat and ask questions in a chat-free zone.

If you don't understand these guidelines or need any help, please feel free to post in Ask the Moderators.

      Please Help Us
      • The easiest way to let us know you want us to remove your entry from the Database is to Report your post. Click on the grey triangle in the lower left of your post.
      • As you wander through the Databases, if you discover chatting, a placeholder or an entry without a picture, please take a moment and report it.

    2. Database FAQ

Three things to keep in mind:
      1. If you delete an image from your hosting service (whether it's a service like Photobucket or your own server), move it to a different place or simply rename it, you break the link. The picture no longer shows up on DoA.

      2. You are responsible for maintaining your entries in the Database. If you are making changes in your hosting service or rearranging your pictures, remember to update your entries if you wish to maintain them.

      3. If you care about keeping your doll's profile information, please save a copy of it on your computer. We cannot retrieve deleted posts.
      Where did my post go?
The vast majority of posts are deleted because:
      • The link to your image was broken (you moved, removed or renamed the picture on your hosting service)
      • Your post was off-topic (chat/question/discussion)
      • Your post was a placeholder (i.e., you did not have your doll and a picture of your doll yet, but were reserving a space)
Why didn't you contact me to let me know my picture wasn't showing up?
We're sorry! We'd love to be able to let every member know when an image link isn't working, but it simply isn't possible to do that. This is a very big community, and all staff are volunteers, putting in lots of time to help things run smoothly. We simply can't stay on top of every private exchange to make sure the picture was put back in. If your post was deleted, and you still want to keep an entry in the Database, please post your doll again.

Why do I need to have the doll and a picture to create a Database?
We require members who want to create a Database to have the doll because we feel it is only fair to owners of that doll. Members minded when they had worked to get a doll but someone who did not have the doll (and perhaps had no intention of ever getting the doll) created the Database.

Why do you have to approve a Database?
      • It helps us make sure there isn't more than one Database for the same doll.
      • It helps us make sure the approved Database is also entered on the list of all Databases (The Database Database).
      • It helps us make sure the member who starts the Database actually owns the doll at the time the Database is created.
If I start a Database, why can't I post my doll's profile in the first entry?
We ask that you put your doll's profile in a separate post because the first post of a thread can never be deleted without removing the entire thread. We believe editing what someone else said is something we should do only if we absolutely have to. We'd rather not have to edit out your doll's profile from the opening post if you later sell the doll or let the image link lapse.

I did put up a sketch/concept drawing of the doll I'm going to buy, but you deleted it. Why?
We consider a sketch-only post to be a placeholder for your doll. We welcome members to include sketches and concepts, provided they also include a picture of the doll.

Why is there no chatting in the Database?
Unlike other areas of DoA, the Database is essentially a library of sculpts. Members use the Database to see owner pictures of a sculpt all in one place. There are other places on DoA where you can chat about sculpts. If you really love a particular doll, send the member a convo to say so (most of us are thrilled to hear someone liked our dolls!). Or locate a thread of this doll in the Galleries and comment there.

      Why don't you allow placeholders?
You'd be surprised how many members never come back to complete their Database entry with a picture of their doll!
