"Birth" and "Death" certificates for dolls

    1. Not sure where to post this, hope this is okay.

      I'm sure just about everyone has come across a post on the marketplace where a doll is for sale, it's a lovely doll- maybe a body or a head you've been looking for to hybrid, and you get to the year it was made and it says "." Scrolling down a bit you see "I am not the first owner of this item." Even today, not all BJDs come with certificates of authenticity, and not all that do have the production date printed/marked on it. People who buy second hand dolls are all too familiar with this, and it's not uncommon for a doll to have several owners before it gets to you so the CoA can get lost.

      I'm someone who likes to keep track of the exact dates of when I got my dolls, and when they were made, if possible. I decided I wanted to make a kind of physical record to record the doll's information- not something that would replace a CoA, but serve as a companion to it. (I think little printed out cards are neat, or at least more interesting than a bunch of notes) The only thing is that your doll can change immensely from the time you first get it to the time you sell it, so my solution was to make 2 documents- a "birth certificate" and "death certificate" if you will. :lol:

      The first document isn't necessary if you keep any kind of journal or log of all your doll purchases like a responsible doll collector. (unlike myself *_*)

      But the second one I think could be very valuable information to secondhand buyers.
      I've added links where you are able to download the files to print yourself. I encourage anyone and everyone to use these, or something like this. While it's not a replacement CoA, (and it's still very much trust-based in this climate where fakes can be passed off as legit) it's information that I think many could benefit from.

      I've made some minor tweaks, including adding a specific space to write the faceup artist for custom faceups. The new files are in the google drive link. Here's how they look now:

      I've also changed the files to be named "incoming doll" for the blue document, and "outgoing doll" for the gold document. "birth certificate" and "death certificate" seemed a bit overdramatic :lol:

    2. This is a really clever idea. I do not often sell a doll, but next time I do, along with any other paper work (CoAs and the like) I'm going to add one of these. Thank you for the neat and useful cards idea.

    3. Thanks! It came to mind because I’m in the middle of a trade- the doll I’m trading I bought directly from the company but that company doesn’t make CoAs, and the doll I’m receiving has had at least 2 owners and I don’t think the CoA has the date the doll was produced. The doll I’m getting also has a gorgeous faceup but I have no idea who did it… Also I just did it for me since I have a bad habit of not writing important info down and having to rely on looking up my past posts or emails to see when I got certain dolls :doh

    5. A very good idea and it will probably be very helpful for a lot of people...

      ... but no good at all for people like me who have been meaning to keep a note of such details for the sixteen or so years I've been buying BJD's but never remember to actually do so. The closest I can get to dating the arrival of my dolls is to check the timestamp on the first pictures I took of them. It's rare for me to rememebr who/where I bougth them from or the name of the facup artist (If I kept the faceup they came with, and knew the name to begin with) or anything like that.

      The few that came with certificates (many more didn't have them back in the "olden days" of BJDs) don't have them any more - I never got into the habit of keeping them (though there are probably several "somewhere" around the house which I may come across at some random point) and many of the second hand dolls I bought "back in the day" were from people who never had, or didn't keep certificates either and some bodiescame from people who kept the certifiate along with the head etc.

    6. I've seen some faceup artists include a "certificate" when they send the finished work back to indicate the work was by them and it may even have a date. Always seemed like a nice added touch. Though I don't keep super extensive track of my dolls, I do keep a file I update once a year (or more) of sculpts and info on each doll along with photos of the doll and what all the doll has such as COA, box, or extras. This is sort of my 'insurance' that if something happened to me then a loved one would at least know the value of my dolls. But also if I ever forget like who a pair of hands belongs to or what a COA looks like for a sculpt then its all there in the pics. A recent thing I'm including is tracking down a dolls prior owner's and including that info as well (if able) so in the event of selling/trading then it's some added confirmation to origins.

      I may just have to incorporate these cool birth/death certificates now too! :D

    7. I haven't bought or sold anything secondhand, but this is a really neat idea! I'm saving this for the future for sure, thank you so much for sharing with us!

      EDIT: The future being approx. 30 mins. later as it turned out! I'm going to fill these out now. I just couldn't resist the opportunity to be more organized!

    8. I inherited a blank "Personal Doll Inventory" book from my grandmother & then have purchased several more.
      There are more details in the descriptions (eyes, wig, clothes) that I don't fill in but it's been handy for keeping any info I learned about the dolls along with the manufacture & purchase info. I end up referring to them often when my memory needs a nudge when posting about them.
      The other thing I'd suggest is adding a photo so if you forget or someone else has to use your records later it's easier to know which actual doll goes with which record. We printed small closeups of each of my dolls which I cut out & glued in place. (But I need to get inspired to do that again for recent acquisitions & all my other doll collections which didn't get as much attention when I made their books)

      For doll history, I've usually checked feedback threads for the seller, where the doll may be mentioned when it was purchased by them & then sleuthed back through the past sellers feedback to learn a bit more of a dolls history. With the site update the oldest information is probably no longer available but with sales in the mp it's still a good way to check the recent history of a doll. ;}

    9. I am one of those compulsive record keepers :XD: I have a ring binder with self-made printed out forms for my dolls that I put all the details in anyway. (I also make notes of all the work/mods/ esthetic I did on the doll, all the items they came with, and more useful stuff, so it's all in one place.) When I sell on the MP, the sales form asks for all these points anyway, so I probably won't use another print out form additionally. But for people who find record keeping more or less annoying^^ or sell on other platforms, these forms are surely handy!

    10. I do this too haha. For me I've only had a handful of BJDs total over the last 10-11 years so it's a bit easier for me to sort out dates, though I don't think I ever took pics of my Dollshe when he first arrived so his birthday will forever be "late 2013" :sigh

    12. I need something like this! At this point I don't know if I'm more prone to losing a piece of paper or a whole notebook, but for me I can at least keep these certificates in my dolls' boxes. I only have a couple dolls, but I can imagine that people with large collections would probably rather use the notebook method if they didn't want to go digging through boxes to remember a specific skin tone :sweat

      sounds familiar... but I've got over fifty BJD now (not to mention a houseful of other - of-topic - dolls) and had some that didn't stay so... I've got no hope of remembering details.

      I don't keep the boxes - not enough space to keep boxes AND display dolls.

I saw some pictures you shared of your collection in a thread for doll setups, and I gotta say I'm very impressed (and a little jealous :XD:) but I can't even imagine beginning to go through the dolls to make records, I imagine it would be more like taking inventory- definitely a job in it of itself!
       
    15. This is how I *want* to be lol. Most of the info I keep in my noggin, which can be, uh, unreliable at best. Of course it's never too late to start! I guess I designed this specifically in mind for the purpose of passing on that information to the next owner as a physical copy (because heaven knows I'll remember all the details on a mp post)

      I guess this was more of a solution to a "me problem" :lol:
       
    16. Pretty much - I mean one Christmas (some years ago when I had far fewer) I put all my BJD's together for a group photo. It took so long to set up and then dismantle again afterwards that doubt I'd ever do it again. It would be like that only more-so to make any record worth having for each doll.

    17. I do have a doll inventory binder with most of this information.
      I love your idea of birth and death certificates. I may create a
      variation for myself. I will probably add a place for the face up
      artist for those dolls with an artist faceup. Only about 1/4 of my
      dolls have custom face ups but face ups by recognized artists
      can enhance a doll's value so ought to be noted. Great idea.
       
    18. One of the reasons I had the idea to make these is because I'm going to be receiving a doll with a wonderful custom faceup, but I have no idea who the faceup artist is. I could probably dig around for several hours online trying to find out, but it just seems so much easier to have all that info not only recorded but ready to pass down to the next owner!

      I should definitely modify the gold one to have an area specifically to put the faceup artist's name if it's custom.
       
    19. A good idea, although it would also be good if have a single document where you list the names of all previous owners. How many owners does the typical doll go through, do you think?
       
    20. A kind of owner log, that would be interesting. Though I wouldn’t know how to make it look like something other than the checkout page in a library book :sweat And I think it very much depends… It’s probably impossible to collect statistics on something like that, but I feel like it’s either 1-2 or a bunch. Maybe some dolls just don’t find their “forever” owner or whatever you would call it. In the case of a couple secondhand dolls I’ve had, I was at *least* the 3rd or 4th owner. While it is a cool idea I don’t know if everyone would be cool with something like that- nothing is stopping you from recording it and passing it along like these cards, but there’s also nothing stopping someone from tossing them for whatever reason haha.
       
    21. Let's keep in mind that recording information about a doll is very different from recording information on people.
      As long as it's just screen names being recorded and people can chose if they want to add their name to the list or not, then maybe...
      But as soon as you start to register other people, even for the most benign reasons, you take on a great responsibility around where that information ends up. Keeping a list for your own benefit is one thing, but if you then send that information on to someone the previous owners have no control over it starts to get complicated. This gets even worse if the doll is sold internationally. Depending on how much information you include, a list like that may not even be legal.
      So, in short; don't get carried away. ;)

    22. I don't see the problem. It's a simple list. This doll was previously owned by Janet Jones
      and Sally Smith. We're not publishing a dossier here....
       
    23. It also is a paper list not an electronic database. Antiques sometimes come with provenance and lists of previous owers.

That's something I figured would be divisive- like Teddy mentioned, some antique dolls come with lists of previous owners, it's just about what people are comfortable with in conjunction with what is seen as acceptable/the norm in a certain environment. I don't think it'll catch on with BJDs :sweat

    27. As a newbie I think this is an awesome idea and would be so helpful. Especially faceup info so that we could know if it’s a company one or not and who the artist is.
